Board Meeting Minutes - April 2025

BOD Meeting

All present except: Ed Marsalis, John Saulters, and Kevin Holyfield

6:06pm: We have 815 current members. We had 125 members that did not renew for 2025. We will begin accepting new members April 15th – May 31, unless spots are filled before then. We can accept 300 new members. The application for new members will be on the website and will be submitted on the website. Payment will be processed on the website. No mail in applications will be accepted. 

6:16pm: Mr. Wilson states we have $134,000 in the active checking account – no transfers have been transferred to money market. We have $117,000 in the money market. The money market earns about $150 per month. Mr. Wilson would feel better if it was $174,000 so that we could transfer into the money market. In one month and ten days – we have spent $8,016 on construction and $2,700 in utilities. Mr. Wilson states the dumpster lids have been remaining open – and this cannot occur. Dumpster lids must remain closed, or we will be fined. Mr. Wilson is concerned we won’t have enough for the year, and stresses the importance of bringing in new members.

6:24pm: Mr. Reno states there is damage to 1-C and Range 7. We have lost several panels on the top of these. Mr. Chris Wright has provided a quote to remove all the tin on 1-C, replace the strips with 1x4’s and then replace it with the same metal we have or get new metal. We will spent another $1300 for the tin. Mr. Wright’s quote is $2,200, plus new tin/material which would be around $1,300-$1,500. Mr. Wright is about two months out. Range 7 has tin blown up and over. We can ask Mr. Wright to quote fixing the tin for Range 7. Mr. Dayton would like to see it being 2x4 instead of 1x4. Concerned about whether the 1x4 will be strong enough. Mr. Reno makes motion to make repairs on 1-C as quoted. Mr. Causey modifies motion to make repairs using the current tin with an allocation allowed to buy new tin if required. Motion approved. Mr. Reno will ask Mr. Wright to fix Range 7 while he is repairing 1-C. 

6:41pm: Mr. Reno asked Mr. Wright to provide a quote for the part of range 1-C that currently has no cover. Mr. Wright quoted $2471.00 to extend the canopy. Quote does not include pouring concrete. That would extend out to roughly two more bays. Mr. Wade states there’s only one member that we see shooting on 1-C. Agreement to hold off on this part of the quote. 

6:44pm: On Range 5 – a limb dropped off the tree and hit the orange light – knocked a hole in the side of the plastic housing. Mr. Rhines asks about moving the Range 4 light to Range 5. 

6:46pm: Mr. Reno received a request from Mr. Bob Allen. Mr. Allen is helping a friend dispose of her late husband’s shooting supplies. Mr. Allen has asked for permission to bring the supplies during the classic and set up a booth. Mr. Wilson suggests we need to touch base with the person in charge of the competition. Mr. Causey will talk to Mr. Baucum. Mr. Rhines suggests a Saturday meet for members to set up booths and sell their supplies. 

6:49pm: Mr. Reno states we still have fiber optic down on the ground. Mr. Cliburn has a connection to bring a bucket truck out next Saturday and get the wire up off the ground. 

6:51pm: Mr. Reno states we did a lot of work trying to get a new lawn service to cut the grass. Most companies backed out when they saw how big it was. Member, Derek Tindol, has provided a quote and cut the grass today. Mr. Tindol will cut bi-weekly, every other week. Mr. Reno asked Mr. Tindol to place big limbs by the trees. Mr. Tindol sprayed about 10 gallon of weed killer. Behind the east building, he had to bush-hog it first, and will start mowing on the next week. Mr. Tindol’s quote is $1471.00 every two weeks. Mr. Reno requests email to be sent to the membership letting them know the range may be shut down – and they have precedence. Members may be asked to stop shooting or move to a different range during this period. Mr. Rhines suggests we speak to Jacob about getting an RSO, if there is one here, to let members know that the ranges will be shut down. Mr. Causey states we need to have safety rules implemented when the lawn service is here. Range is made cold, etc. Suggests Mr. Lancaster write up safety rules. If he asks you to move your vehicle, vehicle must be moved. Mr. Wilson suggests we ask Mr. Tindol about burning some of the heavy brush on the berms. 

7:03pm: Mr. Reno states we have about 15 gallons of ceiling paint that has been here for years. Mr. Coleman asks about the mold issue in the East building. Mr. Bobby states we can run the air on a high setting. Motion made to run the air on high setting to control the musty/moldy smell. Motion approved. 

7:10pm: Mr. Causey mentions members would like picnic area on ranges 2/3s. Picnic tables requested for sitting. Picnic tables not approved at this time. Mr. Causey has had members asking questions/comments. First question is regarding the dates/times of the board meetings advertised and sent to the members. This is not advertised but the minutes are posted on the website. Going forward, the BOD meeting date will be sent via email. The attendance is included in the minutes. Board is not required to include list of the members who voted for/against the motions. 

7:22pm: The board will discuss the distribution and terms of the board members at the next board meeting. Mr. Coleman suggests using social media to let member’s know when the board meeting is. Board meeting is open and have always been open to members. Send email 4-6 weeks out before board meeting date, and if anyone has any business for the board meeting to send it directly to the secretary. Mr. Pittman states when we go into executive session, the approvals made in the executive session should be put into the board meeting. 

7:29pm: Mr. Dayton states the berms behind the plate rack are getting eaten up. We will install rubber horse stall mats on these berms and move the plate rack over to them. It will cost around $1500. 

7:31pm: Mr. Pittman spoke to Jim Lowman, former employee at Boondocks. Mr. Lowman is interested in working 3 – 4 days a week for $15/hr and be paid on a 1099. Mr. Lowman would like to go through the Range Usage and Safety Course. Mr. Lancaster stated he wanted to teach him the course and is asking if he is NRA certified. Mr. Lowman would also ensure there the bathrooms are stocked. Mr. Lancaster sent email about hiring RSO 1-2 days a week and get paid $15/hr to oversee the range. Mr. Wilson states the schedules would need to be coordinated. Mr. Rhines would like to have another RSO class to add additional RSOs. Mr. Coleman states it would have to be under 30 hours a week for a 1099 contractor. Motion made not to hire anyone at this time. Motion approved. 

7:43pm. Mr. Wade suggests that the RSOs do a refresher course every year.
